Why it matters

Petty cash fails at the handover, not the spend

Site cash rarely goes missing in one dramatic event. It leaks at the handovers: money issued to a foreman with nothing signed, a receipt that never made it back to the office, a float topped up twice because two people were both sure it had not been done.

The fix is a single ledger where issuing, spending and returning are all the same kind of record, each attached to a person and a date. Then the balance is not an opinion — it is arithmetic anyone can repeat.

Finance issues a float

Cash goes out to a named custodian and the issue is logged with the amount and date.

The site records spends

Each spend is entered against a category as it happens, not reconstructed from a shoebox at month end.

Reconcile the statement

The custodian statement shows issued, spent and returned. What is left should be in the tin — and if it is not, you know which entry to look at.

Frequently asked

Who can issue cash?

Issuing is a finance function and is separated from the entry of spends, so the person holding the float is not the person authorising it.

Can I see what one custodian is holding?

Yes — the Statement view is per account, showing what was issued to that person, what they have accounted for and the balance still outstanding.

Does it work across several sites?

Yes. Sites and categories are maintained under Lists, and entries are coded against them so you can compare one site to another.

Is the data kept on my own server?

Yes. The ledger saves to the server rather than to browser storage on one machine, so records survive a lost or replaced device.

How do I get an account?

Accounts are created by your administrator under Users in SwiftPOS. If you have no administrator yet, message us on WhatsApp.
